Print Services Assistant (Temporary - to cover Maternity Leave)

To assist in the day-to-day running of the Print Services Department
To provide cover for the Service Desk Operation
To perform administrative duties for the Technical Services teams

Job Dimensions:
Working closely with the Print Services Specialist and assisting departmental members in the support of services to the business
Providing administrative support to Technical Services staff
Providing cover for Service Desk

Job Context:
Support and assistance in the printing of output, both ad-hoc on request via Service Desk, and project-based for large-scale print operations
Monitoring stock levels and ordering of consumables and stationery
Ordering stock from internal and external suppliers in the absence of line manager
General printer maintenance including cleaning tasks
Working with the Print Services Specialist to keep all work areas clean and tidy
Loading stationery to printers – involves some manual lifting
Using Service Desk software to log and track calls and monitor/feedback progress
Assisting Service Desk team during busy periods or to cover for holidays and absence.
Record purchases and staff absences, maintaining spreadsheets and filing
Using Microsoft applications (Word, Excel and Outlook) to best effect in order to keep control of administrative tasks
Other reasonable requests, tasks or projects as directed by the Print Services Specialist and GTS Management Team

Principal Accountabilities:
To take ownership of designated tasks through to completion, escalating to line manager where necessary
To ensure Service Desk calls are correctly recorded, responding to first line support incidents to ensure a satisfactory resolution
To accurately record and maintain team purchase details, staff holiday and sickness forms

Knowledge, Skills, Experience and Training:
Desirable
Experience in working with mail merge and print merge tasks
Use of various large office printers
Knowledge of Windows operating systems
iSeries(AS400)/JDE
Help Desk/Service Desk admin experience
Knowledge/Understanding of Park businesses and company structure

Essential
Microsoft Office Applications - Word, Excel, Outlook
Self-motivated and resourceful, with problem-solving skills
Excellent communication skills and telephone manner
Excellent organisational skills
Customer focused
Strong team-working attitude
